Copy Initialization Setup in all branch companies


Copy initialization setup allows user to perform the initialization setups in all branch companies from the intercompany administration console.
This enables the user to perform initialization steps in one go in all branch companies there by significantly reducing the solution implementation time.
To use the copy initialization setup, perform the following steps:

Alternatively, you can use the Intercompany Initialization Wizard in SAP Business One companies.
  1. In the top menu bar of the Administration Console, choose the Setup option. In the left frame, choose the Copy Initialization Setup option.
  2. The Copy Initialization Setup window is displayed.

  1. Choose the Refresh Companies button to refresh all selected companies’ details. 
  2. To Import the initialization data, In the Load Initialization Data section, choose the Load Data button

Whenever you do the changes in the SAP Business One companies for the initialization setups and want to pull the data in the copy initialization setup, you must choose the Load Data button.
  1. In the prompt window. Choose OK to start the load data process. Further, choose OK on the information prompt window.
    1. The Data Loading Status window is displayed.


During the data loading process, in the Load Initialization Data Section, the icon is displayed to indicate that the data loading process is in progress. 
If you unintentionally close the Data Loading Status window during data loading, click the icon to reopen the page. 
  1. If the data loading tasks:
    1. executes successfully, in the Data Loading Status table, the Status field displays Success.  
    2. did not complete successfully, in the Data Loading Status window, the Status field displays Failure. To display details about the error, in the Details field, choose the Error Details button. 
If the loading data process completes successfully, in the loading data section, the icon is displayed. 
  1. If you encounter the soft error or the status icon moves continuously without any result, choose the Reset button to clear the status result data. 
  2. On the Copy Initialization Setup page, in the Target Companies table, select the checkbox next to the branch code where you want to copy the initialization data.

  1. Choose the Select All button to select all systems. 
  2. Choose the Deselect All button to deselect all systems.
  3. Choose the Save button to save all selected companies.
  4. Choose the Reset button to clear all the configurations you selected in copy initialization setup and to clear the load initialization data queues.
  5. On choosing the Save button, the application prompt for the confirmation as it overwrites the existing save settings. Choose OK on notification window. The application further prompts for Success Message. Choose OK on success window.
  6. In the Initialization Settings following icons are displayed against each step.
    1. Indicates steps settings are configured.
    2. Steps settings are not yet configured and requires the users input
    3. Choose   button to expand the relevant step. Expand the General Settings – Display Settings step.

  1. In Display Settings step, application displays the decimal places data from the all companies selected in the target company list and provides the recommended values.
  2. Choose the Click to replicate this setting to the target companies’ check box to replicate the recommended value data in the target branch companies on initialization process execution.
  3. To replicate the data to the specific branch companies, choose the Manage Target Companies button.
  4. The Target Companies window is displayed.
  5. The companies selected in the main Target Companies list appears in this window.

  1. You can un-select any company from the target company list and choose Save. Choose OK in the prompt window.
  2. Choose Save in the General Settings – Display Settings step and choose Next
    1. The Document Settings – Manage Freight step is displayed.

  1. In Document Settings – Manage Freight step application displays the Manage Freight in Documents settings from the all companies selected in the target company list and provides the recommended values
  2. Choose the Click to replicate this setting to the target companies’ check box to replicate the recommended value data in all the targeted branch companies on initialization process execution.
  3. To replicate this step data to the specific branch companies, choose the Manage Target Companies button and select the companies from the list and choose Save.
  4. Choose Save in the Document Settings – Manage Freight step and choose Next.

The Currencies Setup step is displayed.


  1. In Currencies Setup step application displays the currency data from all companies selected in the target company list. If currency exists in the company, then the application displays True otherwise False.
  2. Choose the Click to replicate this setting to the target companies check box to create the missing currencies in all the targeted branch companies on initialization process execution.
Example
The first branch company only has USD in the currency master, the second branch company has USD and EURO in their currency master and the third has USD and Canadian Dollars in their currency master. 
In this case the application automatically creates EURO and Canadian Dollars as currencies in the first company, Canadian Dollars in the second company and EURO in the third company on executing the Initialization process.
Note
While creating missing currency in the target company, the application only checks the currency code. If the currency code exists, the application ignores that currency, otherwise creates the currency.
  1. To replicate this step data to the specific branch companies, choose the Manage Target Companies button and select the companies from the list and choose Save.
  2. Choose Save in the Currencies Setup step and choose Next
  3. The Encryption Key step is displayed.
  4. The default 16-digit key is available in the Encryption Key field however you can change it as per your requirement.
  5. The encryption key is used to encrypt the passwords saved in the Intercompany setups.
  6. Choose the Click to replicate this setting to the target companies’ check box to replicate the encryption key in the targeted branch companies on initialization process execution.
  7. To replicate this step data to the specific branch companies, choose the Manage Target Companies button and select the companies from the list and choose Save.
  8. Choose Save in the Encryption Key step and choose Next.
  9. The B1i Server Details step is displayed. The details in this setup are used when running Intercompany reports.


The following fields are available on B1i Server Details step.

Select this checkbox to enable the solution to use HTTPS.


B1i Server Address

Enter the server name or IP address of the B1i server.

B1i Port


Enter the port of the B1i server. The default port for HTTP is 8080. 


User Name


Enter the user name for an active B1ip user

Example

Password


Enter the password for the B1ip user.


  1. Choose the Click to replicate this setting to the target companies’ check box to replicate the B1i Server Details settings in the target branch companies on initialization process execution.
  2. To replicate this step data to the specific branch companies, choose the Manage Target Companies button and select the companies from the list and choose Save.
  3. Choose Save in the B1i Server Details step and choose Next.
  4. The Messaging Setup step is displayed. The details in this setup are used to send email notifications to the users of the receiver company based on the contact person setup, that is – the system sends the email notification to the email ID defined against the selected contact person in the sender system transactions.

The following fields are available on Messaging Setup step:

Send Email Notification 

Select this checkbox to activate email notification for an interbranch transaction. Email notifications are only supported for the following transactions:
  1. G/L Allocation
  2. Intercompany Trade, that is – marketing document exchange
  3. Centralized Payments

With SSL


Select this checkbox to enable the solution to use SSL in email notification.


Attach Sender Marketing Document


Select this checkbox to attach the sender marketing document to the email notification.

Note

Attachments are only supported for Document Exchange Cycle.

SMTP Server, SMTP Port


Specify the outgoing mail server address and port.


User Name, Password 


Specify the user name and password for the outgoing mail server

  1. Choose the Click to replicate this setting to the target companies’ check box to replicate the messaging setup data in the targeted branch companies on initialization process execution.
  2. To replicate this step data to the specific branch companies, choose the Manage Target Companies button and select the companies from the list and choose Save.
  3. Choose Save in the Messaging Setup step.
  4. Choose Execute Initialization Process button under execute process section. Choose OK in the prompt window.
  5. The Copy Initialization Setup Status - Summary View window is displayed.

  1. Choose the Refresh button to refresh all companies’ initialization data details. 
  2. Choose the Detail View button to view each company step wise detail.
  3. If you encounter the soft error or the status icon moves continuously without any result, choose the Reset button to clear the copy initialization setup result data queue.
  4. On choosing the Detail View button application displays Copy Initialization Setup Status - Detail View for all companies.

    1. During the copy initialization setup process, in the Copy Initialization Setup Results table, the  icon is displayed to indicate that the copy process is in progress. 
    2. If you unintentionally close the Copy Initialization Setup Results table during copy process, click the icon to reopen the page. 
    3. If the copy initialization setup tasks 
    1. execute successfully, in the Copy Initialization Setup Results table, the Status field displays Success.  
    2. did not complete successfully, in the Copy Initialization Setup Results window, the Status field displays Failure. To display details about the error, in the Details field, choose the Error Details button. 
    3. To re-execute a failed task, in the Action field, choose the Retry button. In case of failure, the Retry button is enabled only after all tasks have been processed.
