Copy Intercompany Setups

The Copy Intercompany Setups feature allows user to copy a branch company’s setup data from one branch company to one or multiple branch companies.  This saves the user from login in each branch database and perform the setup steps individually, significantly reducing the implementation time.
In this feature, User can select any branch or template company as the source company and select one or more companies as the target company to copy the setup data information.

In copy intercompany setup data feature, user can copy following setup information from one company to multiple companies:
  1. Intercompany General Settings
  2. Users and Users Settings
    1. Users Setup
    2. Intercompany Alert Administration
    3. Global Data Authorization
  3. Global Data Distribution Templates
  4. Business Partner Group Control Account
  5. Branch Account Setup
  6. Default Account Setup
  7. Account Classification and Translation Method
  8. Default Accounts By Profit and Loss
  9. Default Accounts By Balance Sheet
  10. Business Partners Representing Branch Companies
  11. General Setting - Serial Number and Batch Management
  12. Consolidation Account Mapping

To use the copy intercompany setups feature, perform the following steps:

Note
Alternatively, you can use the Intercompany Setup Wizard in SAP Business One companies.

 Caution
You must complete the KeyMapping process before executing the copy intercompany setup process.
  1. In the Intercompany Administration Console, choose the Setup option.
  2. In the left frame, choose the Copy Intercompany Setups option. The Copy Intercompany Setups window is displayed. 


  1. On the Copy Intercompany Setups page, the following icons are displayed to indicate the status of copy process:
    1.  Copy Intercompany Setups execution process is not yet started
    2. Copy Intercompany Setups execution process is completed with errors
    3.   Copy Intercompany Setups execution process failed completely
    4. Copy Intercompany Setups execution process completed successfully
  2. Choose the Refresh Companies button to refresh all companies’ details. 
  3. Select the source company by choosing the (…) (Browse) button next to Source Company field. The company selection window is displayed.
Note
Source Company acts as a base company from which all setup information will be copied to the receiver companies.
Choose any company from the drop-down list and press Select button. The selected company appears in source company field



On the Copy Intercompany Setup page, in the Target Companies table, select the checkbox next to the branch code that you want to copy the setup data. Choose the Select All button to select all companies. 
  1. Choose the Deselect All button to deselect all companies.
  2. Choose the Save button to save all selected companies.
  3. Choose the Reset button to clear all the configurations you selected in copy intercompany setups and to clear the intercompany setups data queues. 
  4. On choosing the Save button, the application prompts for the confirmation as it overwrites the existing save settings. Choose OK on notification window. The application further prompts for Success Message. Choose OK on success window.
  5. In the Intercompany Settings table following icons are displayed against each step.
    1. Indicates steps settings are configured.
    2. Steps settings are not yet configured and requires the users input
  6. Choose  button to expand the required step. 
  7. Expand the first step i.e. Intercompany General Settings
  8. The Intercompany General Settings step is displayed.

The following fields are displayed in the Intercompany General Settings step:

Click to replicate this setting to the recipient companies


This check box is selected by default however user can un-select it as well. With this check box enabled, the solution copy the source company intercompany general settings information to the receiver company on copy process execution.

Note
  1. In the Drop Ship Warehouse field, application checks for the sender company warehouse code in the receiver company and if warehouse code exist in the receiver company, application set the warehouse code in the Drop Ship Warehouse field. 
If the sender company drop ship warehouse code does not exist in the receiver company then application sets the "IC_DShip" warehouse code in the Drop Ship Warehouse field.
  1. At the time of copying the records if any error is encountered for any particular record then application ignores that error and processes the next record. The error details can be checked in the intercompany setup data results.

Manage Target Companies


Select this button to display the target company list.

In the Manage Target companies list, you can un-select any company from the target list. This step will be executed only for the companies selected in the Manage Target Companies List.


Save


Choose the Save button to save the current step information.


Next


Choose the Next button to open the next step details.

  1. Choose the Click to replicate this setting to the target companies’ check box to replicate the intercompany general settings data from the source to target branch companies on copy process execution.
  2. To replicate the data to the specific branch companies, choose the Manage Target Companies button.
  3. The Target Companies window is displayed. The companies selected in the main Target Companies list appear in this window
  4. You can un-select any company from the target company list and choose Save. Choose OK in the prompt window.
  5. Choose Save in the Intercompany General Settings step and Choose Next.
  6. The Copy Users and User Settings step is displayed.


The following fields are displayed in the Copy Users and User Settings step:

Click to replicate this setting to the target companies


Selecting this check box will replicate user settings information from the source company to the target companies. 

 Note

At the time of copying the records if any error encountered for any particular record then solution ignores that error and processes the next records. The error details can be checked in the final result.


Click to create master data if not exist in the recipient company i.e. Users.


Selecting this check box will create the user’s master data in the target company if sender company user code does not exist in the target company.

Application copy these fields while user creation in the target system: 
Super user, User Code, User Name, E-Mail, Mobile Phone, Fax, Intercompany Notification In, Can Use Remote Query Execution, Change Password at Next Logon, Locked.
The user created by intercompany solution in the target system will have the default password as “1234”. You must change the password on first login.

User Type


Choose the (…) (Browse) button. From the dropdown list, choose a User Type i.e. All Users, Super User, Common Users and Intercompany Users.
The intercompany relevant information from Users setup, Intercompany Alerts Administration and Global Data Authorization data will be copied from the source to the target companies.

Manage Target Companies


Select this button to display the target company list.
Note
In the Manage Target companies list, you can un-select any company from the target list. This step will be executed only for the companies selected in the Manage Target Companies List.

Save


Choose this button to save the current step information.

Next

Choose this button to open the next step details.

  1. Select (…) (Browse) button next to the User Type. The user type selection window is displayed. Choose a User Type i.e. All Users, Super User, Common Users and Intercompany Users and press select.
    1. All Users – All users’ data will be copied from source to target companies with intercompany relevant information from Users setup, Intercompany Alert Administration and Global Data Authorization.
    2. Super User - Only super user’s data will be copied from source to target companies with intercompany relevant information from Users setup, Intercompany Alert Administration and Global Data Authorization.
    3. Common User – Users those are common in source and target companies will be copied to target companies with intercompany relevant information from Users setup, Intercompany Alert Administration and Global Data Authorization.
    4. Intercompany Users - The user’s define in User Setup, Intercompany Alert Administration, Global Data Authorization window of intercompany solution and have intercompany relevant field enabled are termed as Intercompany users. The data of Intercompany users will be copied from source to target companies with intercompany relevant information from Users setup, Intercompany Alert Administration and Global Data Authorization
  2. Choose the Click to replicate this setting to the target companies’ check box to replicate the user’s intercompany relevant setup data from the source to target branch companies on copy process execution.
  3. Application will copy the intercompany relevant information from Users setup, Intercompany Alert Administration and Global Data Authorization.
  4. Choose the Click to create master data if not exist in the recipient company i.e. Users check box to create the users if not exist in the target companies on copy process execution.
  5. Application copied these fields while user creation in the target system: Super user, User Code, User Name, E-Mail, Mobile Phone, Fax, Intercompany Notification In, Can Use Remote Query Execution, Change Password at Next Logon, Locked.

  10. Chooses Save in the Copy Users and User Settings step and Choose Next.
  11. The Copy Global Data Distribution Templates step is displayed.

  1. Choose relevant check boxes in copy global data distribution template step and Choose Next.
  2. The Business Partner Group Control Account step is displayed.


The following fields are displayed in the Business Partner Group Control Account step:

Click to replicate this setting to the target companies

Selecting this check box will replicate Vendor Group/Customer Group control account and Distribution template information from the sender company to the recipient companies. 

For account copy logic, refer the Account Copy Logic in the Target Company section in this document.

Note

Click to create master data if not exist in the recipient company i.e. G/L Accounts, Global Data Distribution Template.

Selecting this check box will create the master data (G/L accounts and Global Data Distribution Template) in the target company if sender company data does not exist in the recipient company.

For account creation logic, refer the Account Creation Logic in the Target Company section in this document.

Vendor Group Control Account Setting

Choose the (…) (Browse) button. From the dropdown list, choose Copy Distribution Template, Copy G/L Accounts and Copy Distribution Template and G/L Accounts.

Copy Distribution Template - Selecting this will copy the distribution template from the vendor group control account setting of the source company to the target company.

Copy G/L Accounts - Selecting this will copy the g/l accounts from the vendor group control account setting of the source company to the target company.

Copy Distribution Template and G/L Accounts - Selecting this will copy the distribution template and g/l accounts from the vendor group control account setting of the source company to the target company.
Customer Group Control Account Setting

Choose the (…) (Browse) button. From the dropdown list, choose Copy Distribution Template, Copy G/L Accounts and Copy Distribution Template and G/L Accounts.

Copy Distribution Template - Selecting this will copy the distribution template from the customer group control account setting of the source company to the target company.

Copy G/L Accounts - Selecting this will copy the g/l accounts from the customer group control account setting of the source company to the target company.

Copy Distribution Template and G/L Accounts - Selecting this will copy the distribution template and g/l accounts from the customer group control account setting of the source company to the target company.
Manage Target Companies

Select this button to display the target company list.

In the Manage Target companies list, You can un-select any company from the target list.This step will be executed only for the companies selected in the Manage Target Companies List.

In case of Accounts replication, the application automatically disappear the company based on the chart of account structure of source and target companies. For further detail refer the Target Company disappear Logic for Accounts Replication section.

Choose this button to save the current step information.

  1. Select (…) (Browse) button next to the Vendor Group Control Account Setting. The Group setting selection window is displayed. Select the relevant option from the dropdown.
  2. Select (…) (Browse) button next to the Customer Group Control Account Setting. The Group setting selection window is displayed. Select the relevant option from the dropdown.
  3. Choose the Click to replicate this setting to the target companies’ check box to replicate the vendor group and customer group control account settings data from the source to target branch companies on copy process execution.
  4. Choose the Click to create master data if not exist in the recipient company i.e. G/L Accounts, Global Data Distribution Template check box to create the g/l accounts and data distribution template if not exist in the target companies on copy process execution.
  5. To replicate the data to the specific branch companies, choose the Manage Target Companies button.
  6. The Target Companies window is displayed. The companies selected in the main Target Companies list is appears in this window.
  7. You can un-select any company from the target company list and choose Save. Choose OK in the prompt window.
  8. Choose Save in the Business Partner Group Control Account step and select Next.
  9. The Branch Account Setup window is displayed.


The following fields are displayed in the Branch Account Setup step:

Selecting this check box will replicate Branch Account Setup information from the sender company to the recipient companies.

Note

Click to create master data if not exist in the recipient company i.e. G/L Accounts.

Selecting this check box will create the master data (Due From and Due To Accounts) in the recipient company if sender company accounts does not exist in the target company and setup the same in Branch Account setup of target companies.

For account creation logic, refer the Account Creation Logic in the Target Company section in this document.
Click to overwrite the setting which exist in the target companies

Selecting this check box will overwrite the setup exist in the target companies.
For Example, if user has already done the Branch Accounts setup in the target company then by selecting this check box, the target company information will be overwritten by source company information.
Manage Target Companies

Select this button to display the target company list.

In the Manage Target companies list, you can un-select any company from the target list. This step will be executed only for the companies selected in the Manage Target Companies List.

In case of Accounts replication, the application automatically disappear the company based on the chart of account structure of source and target companies. For further detail refer the Target Company disappear Logic for Accounts Replication section.

  1. In the Branch Account Setup window, choose the relevant check boxes.
  2. Choose the Manage Target Company button to display the target company list.
  3. In the Receiver List, all the targeted company selected under the Target Companies master list is displayed.
In the below screenshot, you noticed that the ACME-FL and ACME-TX branch selected in the Target Companies master list is not displayed in the receiver list due to the chart of account structure difference in the source and target companies.
