WDF 2560002 - Enhancement in license renewal notification

Current Scenario:

The Intercompany solution triggers license renewal notifications for all allocated users 30 days before the license expiration date. These notifications are displayed to all allocated users in each company, irrespective of the renewal method configured for the subscription. This includes both automatic renewals and manual renewals processed through bank transfer or credit card.

As a result, users continue to receive renewal reminders even in scenarios where the subscription is already configured for auto-renewal, which may lead to unnecessary or redundant notifications.

Solution: A Hotfix is available in this note for the Intercompany solution and Integration HUB solution. 

The Intercompany Solution

After the hotfix is applied, the Intercompany solution behavior will be updated as follows:
  1. The system will stop sending renewal notifications altogether and will also remove any existing renewal notifications that were previously displayed.
  2. If the subscription is marked for auto-renewal, no license renewal notifications will be sent to any user.
  3. If there is a requirement to receive renewal notifications for a specific user in the Head Office (HO) company, a dedicated UI option is available in the Manage License screen to configure notifications for an individual user, as shown below:

  5. If subscribed, for subscriptions with a monthly billing cycle, the default renewal notification frequency is set to 7 days before expiration. For annual subscription periods, the default notification frequency remains 30 days prior to expiration.
  6. The configured user in the Manage License screen will receive the license renewal notification. If the user does not wish to receive further renewal notifications, alternatively, they can select the “Do not show this message again” checkbox to suppress future messages.
Integration Hub Solution

In the Integration Hub, the license renewal notification behavior will be updated as follows:
  1. Renewal notifications will be sent only to the 'Manager' user. All existing renewal notifications for other 'super user' will be removed.
  2. If the subscription is configured for auto-renewal, no renewal notifications will be sent.
  3. For subscriptions with a monthly billing cycle, the default renewal notification frequency is set to 7 days before expiration. For annual subscription periods, the notification frequency remains 30 days prior to expiration.
  4. If the Manager user does not wish to receive further renewal notifications, they can select the “Do not show this message again” checkbox in the Walldorf Renewal Notification window to suppress future messages.
Note:
Please note that stopping the notification does not affect the license validity or the renewal process. Users are advised to ensure that the license is renewed before the expiration date to avoid any potential disruption in the business process.

Workaround for current and previous versions:

The attached zip file is to be imported via BizStore Import of Control Center.

1. From your existing environment, take a backup of the "com.cxs.b1i.ipo" file as per the backup process below:
   
To take the backup of the ipo file, perform the following steps:
  1. Log in to Integration Framework 2.0.
  2. Go to Tools -->Control Center --> Maintenance -->BizStore Export.
  3. In the Exporting Content from BizStore, in the selection criteria. Select the Dataset button.
  4. In the Choose Dataset, choose Value "com.cxs.b1i.ipo" and then press the Submit button.
  5. Save the file in the relevant folder.
2. Perform the following steps to import the IPO file:
  1. Log in to Integration Framework 2.0.
  2. Go to Control Center --> Maintenance -->BizStore Import.
  3. In the Importing Content to BizStore, In the Selection Criteria. In the Choose Archive, select the Choose File button. 
  4. Select the IPO file "com.cxs.b1i.ipo.zip".
  5. Select the checkbox Assume File System-Friendly Naming and then Submit.
Solution:

The enhancement described above will be incorporated in the Intercompany Integration Solutions version 56 and higher versions.
